Privacy policy
Last updated October 22, 2026
This policy explains how TeeMarshal, Inc. ("TeeMarshal", "we") handles personal information. We do not sell personal information, and we do not market to the golfers of the courses we serve.
Who this policy covers
TeeMarshal handles personal information in two different roles.
- Golfers booking with a course. When you book a tee time on a course's booking site that runs on TeeMarshal, the course decides what information is collected and how it is used. The course is the controller of that information and we process it on the course's behalf as its service provider. The course's own privacy notice applies. This policy describes what our software does with your information so you know what to expect.
- Course staff and website visitors. When you visit teemarshal.com, ask for a demo, or use the admin app as a member of a course's staff, we are the controller of your information.
Information we collect
| Who | What | Where it comes from |
|---|---|---|
| Golfers | Name, email, mobile number, booking history, rate class (for example senior or resident), notes the course adds, email and text consent status, messages exchanged with the course, and for phone bookings the call transcript and, if the course enables it, a recording. | You, when you book or call. The course, when staff book for you or import existing records. |
| Golfers (payments) | Payment amount, status, and the last four digits and brand of your card. Full card numbers go directly to Stripe and never reach our servers. | Stripe, on behalf of the course. |
| Course staff | Name, work email, role, login activity, and actions taken in the app (kept in an audit log). | You and your employer. |
| Course business contacts | Business name, address, EIN, and owner contact details needed for billing, Stripe onboarding, and text message registration. | The course. |
| Website visitors and leads | Details you submit in demo, contact, and email signup forms (name, role, course, email, phone, message), the page you submitted from, and campaign parameters in the link you followed. | You. |
| Everyone | Technical data: IP address, browser and device type, pages requested, and error reports. | Your browser. |
How we use information
- To run the service for courses: take and manage bookings, process payments through Stripe, and send confirmations, reminders, and other messages the course has set up.
- To secure the service: prevent fraud and abuse, enforce rate limits, investigate incidents, and keep audit records.
- To support and bill our customers, and to respond to people who contact us.
- To tell course operators who asked to hear from us about the product. Every marketing email from us has an unsubscribe link.
- To fix and improve the software, using error reports and aggregate usage statistics.
- To meet legal obligations.
We do not use golfer information to advertise other courses or products to golfers, and we do not build cross-course profiles of golfers for marketing.
Text messages
Courses send booking confirmations, reminders, and, with your opt-in, occasional offers by text through TeeMarshal. See the SMS terms. Mobile numbers and text message opt-in consent are not shared with or sold to third parties or affiliates for their own marketing or promotional purposes. Reply STOP to any message to opt out.
AI features
Some courses use our AI phone agent to answer booking calls, and AI drafting tools for marketing messages and reports. Call transcripts and the booking details needed to answer are sent to our AI provider (Anthropic) to generate responses. Our providers are not permitted to use this information to train their models.
Who we share information with
- The course. Golfer information belongs to the course you booked with and is available to its staff.
- Service providers. Companies that host and operate parts of the service for us, under contracts that limit their use of the data. The current list is on the subprocessors page.
- Services a course connects. If a course turns on analytics, Reserve with Google, a marketplace feed, or its own integrations through our API, relevant booking information goes to those services at the course's direction.
- Legal and safety. When required by law or valid legal process, or to protect the rights and safety of people or the service.
- Business transfers. If TeeMarshal is involved in a merger or sale, information may transfer to the successor, subject to this policy.
We do not sell personal information and we do not share it for cross-context behavioral advertising.
Cookies and analytics
We use the cookies needed to keep you signed in and to keep the site secure. On a course's booking site, the course may enable its own analytics and advertising tags (for example Google Analytics or the Meta pixel). Those are controlled by the course and covered by its privacy notice.
How long we keep information
| Data | Retention |
|---|---|
| Golfer records and booking history | For as long as the course is a customer, or until the course or golfer asks for deletion. On deletion we anonymize name, email, and phone and keep the financial rows. |
| Message content (email and text bodies) | 13 months. |
| Phone agent call transcripts | 90 days by default. The course can change this. |
| Audit log | 7 years. |
| Payment and financial records | As required by tax and accounting law. |
| Course data after a course cancels | Available for export for 30 days, then deleted or anonymized within a further 60 days. |
| Demo and contact form submissions | Up to 24 months after our last contact, unless you become a customer. |
Security
Each course's data is isolated at the database level, card data is handled only by Stripe, data is encrypted in transit and at rest, and we keep point-in-time backups. Details are on our security page. No system is perfectly secure. If a breach affects your information we will notify the affected course and, where the law requires, you.
Your choices and rights
- Golfers. To see, correct, export, or delete the information a course holds about you, contact the course. You can also write to us and we will pass your request to the course and help it respond. Reply STOP to opt out of texts and use the unsubscribe link in any marketing email.
- Course staff and leads. Write to us at the address below to access, correct, or delete your information or to stop marketing email.
- State privacy rights. Depending on where you live (for example California), you may have rights to know, access, correct, delete, and port your personal information, and not to be discriminated against for using those rights. We honor these requests where they apply. You may use an authorized agent. If we decline a request you can appeal by replying to our response.
Children
The service is not directed to children under 13 and we do not knowingly collect their information. Junior golfers should be booked by a parent or guardian.
Where information is processed
TeeMarshal is operated in the United States and information is processed there. The service is intended for courses and golfers in the United States.
Changes
We will post updates here and change the date at the top. For material changes we will also notify course account owners by email.
